Job Description

M squared is looking for a skilled “CEO Office Manager” to join our team.

Job Location: Head Office – El Mohandseen

Job Responsibilities:
Assist the CEO in the development and implementation of strategic initiatives.
Monitor the progress of key projects and initiatives, ensuring alignment with the company's strategic goals.
Prepare presentations, reports, and briefing documents for the CEO, summarizing complex information.
Coordinate and oversee high-priority projects, ensuring timely execution and delivery.
Act as a liaison between departments to facilitate project communication and ensure smooth workflow.
Manage internal and external communications on behalf of the CEO, including email correspondence and meeting facilitation.
Prepare executive summaries, reports, and communications for stakeholders and senior management.
Organize and coordinate executive meetings, ensuring agenda alignment and follow-up on action items.
Support the CEO in preparing for and attending board meetings, investor presentations, and public events.
Develop standardized processes for key business functions to ensure consistency and efficiency.
Regularly review existing processes for opportunities to streamline, enhance efficiency, and reduce redundancy.
Maintain a repository of all process documents, ensuring they are up-to-date and easily accessible.
Provide guidance and training on newly developed or revised processes to relevant departments.
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Collect, analyze, and interpret data to support the CEO in decision-making.
Provide regular reports on business metrics, project performance, and strategic initiatives.
Oversee and coordinate transportation logistics for employees working on-site, ensuring reliable and efficient arrangements.
Manage accommodations for site employees, including booking, compliance with company standards, and addressing any issues that arise.
Collaborate with transportation and accommodation vendors to ensure high-quality service and manage contracts.
Act as the point of contact for any transportation or accommodation inquiries, ensuring that employees have the necessary support while working on-site.
Monitor and control expenses related to transportation and accommodation, ensuring they stay within budget.

Job Requirements: 
Bachelor’s degree in Business Administration, Management, or a related field.
10+ years of experience in office management, executive support, or a similar role.
Strong project management skills, with the ability to handle multiple tasks simultaneously.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office.
High level of discretion, professionalism, and problem-solving abilities.
Strong attention to detail and ability to work independently.
